Privacy is not a feature an employer grants or controls. Individual reflections remain private from organizations—even when an organization pays for access.

Clear boundaries before a nurse shares anything.
Shared only by the nurse
Reflections and summaries are never automatically sent to an employer, licensing body, mentor, preceptor, or anyone else. Sharing begins only when the nurse chooses it.
Never sold or used for advertising
Reflection content is not sold, shared with data brokers, used for advertising, or used to train public or third-party AI models.
What “Private” Means
Private from people does not mean invisible to the technology required to provide the service.
Vital Preceptor and carefully selected service providers must process information to deliver a guided reflection. That technical processing is different from sharing the reflection with an employer, coworker, or other outside person.
We will not promise anonymity or “zero processing” when that would be misleading. Instead, we will explain what is processed, why it is needed, who may have technical access, how long information is kept, and what choices the nurse has.
How AI Supports ReflectionData Handling
Collect less. Explain more. Keep access narrow.
Minimal information
Vital Preceptor does not need a nurse’s legal name, employer or unit name, license number, employee number, or patient information to guide a reflection. During beta evaluation, sessions may use a random code rather than directly identifying account information.
Generalized descriptions
Nurses are asked not to enter patient or coworker names, facility or unit identifiers, exact dates, or distinctive clinical and workplace details. Avoiding identifiers reduces risk, but it does not eliminate it.
Restricted review
There is no routine human reading of reflections. A consented beta evaluation may permit specifically authorized reviewers to access retained sessions for safety and product evaluation under defined access controls.
Content-free measurement
Product analytics should answer whether the experience works without watching what a nurse writes. No session replay, keystroke capture, or reflection-page heatmaps. The current development preview uses no third-party analytics or trackers.

Current development preview
Temporary by design
The current testing experience keeps the active session in browser or page memory and processes requests transiently. Vital Preceptor does not maintain a transcript database for that preview. Refreshing or discarding clears the active session, although AI and hosting providers still process requests to operate it.
Private nurse beta
Consented evaluation
Beta participants will be told before beginning if session messages, AI replies, summaries, safety events, linked feedback, and limited pacing information are retained for evaluation. Participation is voluntary and limited to adults age 18 or older.
After the beta
Shortest practical retention
Raw beta sessions are scheduled for deletion 90 days after the beta closes. Afterward, only aggregate findings and carefully de-identified material may remain. Any actual excerpt used in a presentation, publication, or marketing requires separate, explicit permission.
Nurse Choice
Control does not end when the reflection ends.
Edit, copy, or discard
A generated summary is nurse-owned and editable. The nurse may copy or download it, change it so it accurately reflects their experience, or discard it.
Access and deletion
Where content is saved, nurses can access a copy, delete saved content, delete their account, and withdraw optional permissions subject to clearly disclosed limits.
Separate research permission
Participation in optional research or permission to use excerpts is separate from receiving the reflection experience. Declining does not turn private reflection into shared data.
A reflection—not a record
The summary is an unverified personal reflection. It is not an official record, incident report, clinical or legal conclusion, employer assessment, or authoritative account of events.
Important Limits
Private reflection is not monitored support.
Vital Preceptor does not provide human monitoring or emergency intervention and cannot dispatch help. It is not therapy, crisis care, medical advice, or clinical documentation.
If someone may be in immediate danger, they should contact local emergency services or an appropriate crisis resource rather than rely on Vital Preceptor.

Before a public beta or finished product launches, Vital Preceptor will publish the complete service-specific privacy notice, including the final technology providers, retention rules, security controls, and contact process for privacy requests.
